I have learnt that Sales executives from your firm have an appointment with Mr. Venkatesh Nayyar, Sales Head of our company on this coming Friday regarding the contract of sewing machines. I am afraid, but I think there has been a confusion or misunderstanding on our part as we are already in talks with another company for the same. We are about to close the deal and thus such a meeting with your company is a result of an oversight of facts by our employees.
Your company has been invaluable client for us for the past couple of years, but this year, it is not possible to continue our business relations with your company. But, we do look forward to working with you in near future.
The aforementioned meeting stands to be cancelled and I deeply apologise for any inconvenience caused.

- I was totally keen to join your organisation right from the date of my application for the post of Software Engineer till the date of my final interview, leading to ultimate selection.

- Couple of days back, to my utter shock, I was informed of the sudden illness of my maternal uncle, who was mainly instrumental in my upbringing and moulding my educational career. His sudden ill-health came as a bolt from blue for me but have no other choice but to shift in entirety from Delhi to my native place. His recovery, rejuvenation is likely to take indefinitely long time and may not be able to do justice to your kind offer, as my uncle needs my personal care more than anyone else.
In this backdrop, I am utterly hard-pressed and disappointed in my inability to accept your offer of appointment, which I would have accepted gleefully, had my uncle’s sudden illness not intervened.
Please accept my sincere regrets but I reassure you that in future, I look forward to associating with your organisation and oblige.

This is to inform you that due to unavoidable circumstances that I have to cancel our meeting which was supposed to be held on Monday, March 16th 2014.
I have just been informed by my manager that for the next 2 weeks I will be travelling to Dubai for the Gulf Technological Summit. Thus I have to cancel our meeting.
I request you to kindly send me an acknowledgement of this cancellation letter. I will plan a new appointment with you soon. I shall call you after I came back to reschedule the meeting to a new time.
In the meantime I have asked my assistant to send you the progress report and he will be working on the project while I am away. While I will miss our personal meetings, please be assured that I will continue to service your account as effectively as I have in the past. Its just a matter of two weeks.
