• Audit procedures
• Sales review
• Production review/requirements
Please make sure that all team leaders are prepared to give updates regarding the status of all ongoing projects. In the case that you are unable to attend the meeting, please make sure that
your assistant can substitute and deliver your report for you.
Please feel free to add to this agenda by notifying us in advance prior to the day of the meeting.

Sample letter to announce a routine meeting
Our board meeting with the employees for this quarter of the year is scheduled to be held on the (date) at (time) in our conference hall. I request all of you to be present at the scheduled time and day.
We intend to bring into light all the important issues and agendas for this quarter. We shall mainly be concentrating on the following matter:
1. Demands of the labour union.
2. The need of new members for some projects.
3. Utilization of our resources towards the benefits our staff.
4. Financial increment in budget for the ongoing onsite works.
You are requested to be ready with your reports and presentations. You can let us know if you have suggestions or questions regarding our mainly focused discussions in the meeting. Also inform us if you want any other discussion to be a part of this meeting so that we can be prepared in advance with the details.
This is a part of the regular meeting held on a quarterly basis in our company. The aim of this meeting to hear from you and to be heard by you! We encourage our employees to be an active participant in the meeting and to be open about your suggestions and feedbacks.
This meeting is mandatory to all the employees of this company. In case you shall not be able to attend this meeting, you should inform the management in advance. Additionally, your assistant or any other member of your team should be ready to present your report in your absence.
