As you know, the country has been undergoing an economic recession that has also affected our company’s financial performance. Due to increasing cost our profit margins have drastically reduced. In light of this, we are constrained to implement the following cost-cutting measures in order to reduce our operating costs.
The following steps will be undertaken, effective 31st March 2014,
• The use of office supplies, such stationary and reimbursements are to be restricted. Employees must inform their supervisors if they need to avail of any new supplies and sign in the logbook for monitoring purposes.
• All employees travelling official basis are requested to opt for train travel instead of air whenever possible. In case travelling by train is not possible employees must travel by economy class and low cost airlines.
• Also no new employees are to be hired until further notice.
I would appreciate any feedback regarding these changes. If any of you have any recommendations for further cost cutting please share with us. We hope that all employees appreciate the need for these and will cooperate fully with company officials in helping to implement them. Thank you for your cooperation.

HR department has observed that there are some queries on leave policies and procedures to be followed by the employees.
All staff are advised to apply for long leave of more than 4 days in advance for HRD approval.
The Leave Travel Allowance (LTA) claim has to be submitted within a week of joining office with all relevant bills.
All leave records for casual and sick leave have to be updated on the new online system regularly and have to be approved by respective line managers.Kindly note that access to system servers and production sites will be blocked to staff when they are on leave.
Please be advised that should you wish to look at the contents of Personnel files with HRD, you should give the Human Resource Department advanced notice of at least five days.
Certain documents such as reference checks or employee planning will remain confidential and the HR Head is the only one authorized to view them.
Kindly ensure compliance to the above.
